VACANCY: Procurement Administrator - Karimix

This is a great time and opportunity to join our extending company structure in the role of a Procurement Administrator. The company is expanding and sales levels have doubled over the past year and we are looking to help strengthen our current structure. The role is suited for someone who has experiencing in purchasing and inventory management. The role is an important one inside the organisation in order to ensure the correct flow of materials to ensure a smooth and continual production process. The hours for this role our Monday to Friday 8.30am to 5pm with a 30 minute unpaid lunch

  • Liaise with the Production Supervisor and/or General Manager regarding stock levels, order dates and the production plan to ensure maximum output is maintained.
  • Process purchasing orders accurately, using Company processes and keeping systems up to date.
  • Order raw materials based on production requirements, maintaining acceptable levels.
  • Liaise with suppliers about expected delivery dates and ensure sales orders are kept up to date with accurate information.
  • Follow up on orders placed to ensure arrival in time for production.
  • Escalate any potential issues to the Production Supervisor and/or General Manager.
  • Update the system with expected order arrival dates and stock quantities.
  • Ensure all prices on purchase orders are correct and up to date.
  • Keep the Company system updated with the latest approved pricing levels.
  • Liaise with the Production Supervisor in the warehouse, supplying all purchase orders and prebooked delivery information on a daily basis.
  • Ensure stocktakes are completed daily, accurately updating stock levels on the system.
  • Liaise with Accounts to resolve any stock queries and/or purchase order issues.
  • Add new stock items to the system correctly including codes, prices and specifications.
  • Assist with wider stocktakes and BRCGS audits.
  • Ensure all products have up to date specifications, recorded and filed correctly.
  • Identify any raw materials which require contracts, negotiating prices to minimise costs.
  • Identify new suppliers and review cost prices of materials, reducing cost where possible.
  • Ensure all approval paperwork for new suppliers is complete and uploaded.
  • Meet individual KPIs and contribute to the achievement of Company objectives.
  • General administrative tasks including answering incoming telephone calls, resolving or redirecting as needed.
  • Maintain all orders on IT and paper-based systems.
  • Wear and use Personal Protective Equipment (PPE) correctly and as intended, reporting any loss, damage or shortage of PPE to the General Manager.
  • Cover for office and production colleagues as needed during breaks and absences to ensure continuity of output.
  • Assist new starters to learn and follow the correct procedures.
  • Accurately record your working time via the clocking system, attending work at the agreed times and adhering to agreed break times.
  • Undertake all appropriate training and skills development as necessary.
  • Work in line with high Health & Safety standards, recognising the vital importance of our food safety culture.
  • Any other duties as reasonably required to meet business needs.

Qualifications:
- Proven experience in supplier management, vendor management, and contract negotiation
- Strong knowledge of logistics and supply chain management principles
- Excellent analytical and problem-solving skills
- Proficient in using inventory management software and other relevant tools
- Detail-oriented with strong organizational skills
- Effective communication and interpersonal skills

Job Types: Full-time, Permanent
